Office of Financial Services
The Office of Financial Affairs performs the budget, personnel and accounting functions for the External Affairs Division.
This includes:
- Developing, reconciling, and reporting of all budgets.
- Managing and budgeting of personnel for all External Affairs Units.
- Recording and maintaining gift records for donors to the University and Foundations.
- Recording and maintaining alumni records for the University.

Foundation Support
The office of Financial Services provides staff support for both the Arch Foundation and the University of Georgia Foundation. This includes:
- The management of funds established with each Foundation in accordance with the instructions of the fund agreements.
- Preparation of various fund raising and Campaign reports for both internal and external constituents.
- Providing financial support upon request to the University for scholarships, faculty salary supplements, awards and lectureships, and operating programs involving alumni relations.
- Investment management of funds in accordance with each Foundation's investment policies.
- Financial accounting and reporting of each Foundation's operations and assets.
- Recording and maintaining gift records for donors to each Foundation and other affiliated organization.
- Preparation of audit and tax filings for each for each Foundation.

Trademarks and Logos
The Office of Financial Services is the designated "gatekeeper" of all trademarks and logos for the University of Georgia (including all units within the University, the Athletic Association, the Alumni Association, and Arch. Use of registered marks, monitoring, renewal and registration of marks, and approval of marks is handled by the Office of Financial Services.

The Office of Information Technology
The Office of Information Technology provides computing support to enhance the fund-raising, alumni relations and public relations efforts of the External Affairs division. Support includes assistance with Network Access, Hardware troubleshooting, Computer Account Information, Software and Licensing, Security Information, Policies and procedures, telephone services, technical support for both the Alumni Donor Database and the Trust Fund Financial Accounting System.

The Office of Finance and Accounting
The Office of Finance and Accounting is responsible for the finance and accounting functions for the Arch Foundation, the University of Georgia Foundation, and the Alumni Association. These functions include the internal and external financial reporting and management of treasury matters (banking, investments, and debt financing), donated real property, study abroad properties, and other income for these external entities. This Office also handles foundation and alumni disbursements through the Accounts Payable Department and is responsible for compliance with federal and state regulations (IRS reporting, sales and use tax, fringe benefits, etc.).

The Office of Budget Accounting
The Office of Budget Accounting assists the External Affairs Division with the development, reconciliation and reporting of its budget. In addition, the Office of Budget Accounting handles all personnel functions for the division. This includes University Human Resource requirements. This Office is the liaison for the External Affairs units with the University of Georgia Finance and Administration.

Office of the Executive Director
The Office of the Executive Director is responsible for the overall management of the Arch Foundation, University of Georgia Foundation, and the financial aspects of the Alumni Association. This includes the management of funds established with each foundation and compliance with the purpose outlined in the fund agreements.

Office of Gift Accounting
The Office of Gift Accounting is the clearing house for all private support of the University. Gift Accounting records gifts, pledges and deferred gifts made on behalf of the Arch Foundation, the UGA Foundation and direct to the University as well as various affiliate organizations such as the 4-H Foundation, Friends of the Botanical Gardens and the UGA Athletic Association. The Office also provides Gift Receipts and Pledge Reminders to donors and various fund raising reports to both
internal and external constituents.
Gift Accounting is also responsible for recording Alumni Association membership payments and non-gift revenue related to fund raising and alumni events.

The Office of Alumni Records
The Office of Alumni Records is responsible for updating and maintaining accurate biographical information contained in the alumni/donor database. This information aids the efforts of the University’s development programs, fund-raising, varied school/college programs and many alumni functions.
Alumni Records researches, updates and verifies information received before processing into the database. The Office also sets up new donor/friend records, reconcile new graduate records to the system and add/delete or edit information directly into the database.
